We collect personal information when you voluntarily provide it to us, such as when you contact us through the Website, by email, by telephone, or in person, when you submit information through intake or onboarding forms, when you sign documents electronically or when you apply for a career opportunity with us.

Depending on your interactions with JFK, this information may include:

  • Professional or employment-related information, which may include some of the information described above, as well as your academic transcripts, your resume, your references, your letters of motivation, and any additional information you provide when you apply for a career opportunity at JFK
  • Identification information you provide for client onboarding and verification purposes, such as copies or images of government-issued identification documents and photographs
  • Information provided in the course of JFK’s professional activities, including information provided during evidence collection or by clients as part of document production, as applicable
  • Any other information you choose to include in your communication with us

We do not collect personal information unless it is necessary for the purposes identified at the time of collection.

(b) Information Collected by Technological Means

This information does not allow us to directly identify you. We do not use cookies for advertising, behavioural profiling or cross-site tracking.

In limited circumstances, identity verification services provided through thirdparty platforms may involve the processing of biometricrelated information, such as facial images (ID photos or live selfies). Where applicable, such information is processed on JFK’s behalf solely for identity verification and security purposes, and only to the extent permitted by applicable law.

4. How We Use Your Personal Information

We may use your personal information for the following purposes or otherwise, with your consent or as permitted or required by law:

  • Responding to inquiries or communications you initiate and providing services or information you request
  • Operating, maintaining, managing and improving the Website and our business operations
  • Understanding how visitors navigate the Website, including through analytics, in order to enhance its design, functionality and performance, subject to your privacy choices
  • Processing and assessing applications for career opportunities, including evaluating suitability for employment and, where applicable, conducting pre-screening or verification activities in accordance with applicable law
  • Ensuring information, system and network security, and preventing misuse, fraud or unauthorized access
  • Sending newsletters and other marketing and informational communications relating to JFK’s activities, events, and publications, in accordance with applicable law and your communication preferences

These service providers help us operate and manage our Website, information systems, infrastructure and marketing. They provide services to us, such as recruiting, background checks, email communications, mail delivery, data hosting, and analytics services (e.g., analyzing usage of our Website).

When JFK shares personal information with our service providers, we ensure by contractual means that the transferred personal information is used only for the purposes for which the service provider is retained and is protected to the same degree as it is when in our possession. Our service providers may be located outside of Québec or Canada, as further detailed in the Cross-Border Transfers of Personal Information section.

6. Retention and Destruction

Personal information is retained only for as long as necessary to fulfill the purposes for which it was collected, including responding to inquiries, processing job applications, managing our business operations, or complying with legal and regulatory obligations. Once personal information is no longer required for those purposes, it is securely destroyed in accordance with applicable legal requirements and our internal governance practices.

7. Security Measures

We maintain appropriate administrative, technical, and physical safeguards designed to protect personal information against loss, theft, unauthorized access, use, or disclosure. These safeguards are adapted based on the volume and sensitivity of personal information, the purposes for which it is used, and the format in which it is stored, and include:

  • A privacy framework governing the protection of personal information through its lifecycle. This framework defines the roles and responsibilities of JFK personnel, provides a process for dealing with complaints regarding the protection of the information, and addresses the retention and destruction of personal information.
  • Internal policies and procedures that define the roles and responsibilities of our employees throughout the information life cycle and limits their access to such information on a “need-to-know” basis.
  • If information is collected or stored in electronic format, technical safeguards such as encryption, firewalls, passwords, antivirus software and similar measures.
  • A designated Privacy Officer to monitor JFK’s compliance with applicable privacy laws.
  • Employee privacy and data security training.

These safeguards are also applied when we dispose of or destroy your personal information. Despite these measures, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

Subject to limited exceptions set out in applicable law, individuals have the right to:

  • Access their personal information
  • Request correction or rectification of personal information that is inaccurate, incomplete or no longer up to date

Depending on the jurisdiction where you reside, you may also be entitled to request the rectification of your personal information if our collection, disclosure, or retention of such information is not authorized by law.

(c) Opting Out of Marketing Communications

You may choose not to receive marketing or promotional communications from JFK at any time.

If you no longer wish to receive marketing emails from us, you may opt out by clicking the “unsubscribe” link included in our emails or by contacting us using the information set out in the Contact Us section below. Please note that opting out of marketing communications will not prevent you from receiving nonpromotional communications that are necessary to respond to a request you have made or to communicate with you in connection with our services.

Changes to your communication preferences may take up to ten (10) business days to take effect.

10. Cross-Border Transfers of Personal Information

JFK is based in Canada. Some of our service providers may access, process, or store your personal information outside of the country where we are located and where you reside, including in Canada and the United States. As a result, when your personal information is used or stored in a jurisdiction other than where you are residing, it may be subject to the law of this foreign jurisdiction, including any law permitting or requiring disclosure of the information to the government, government agencies, courts, and law enforcement in that jurisdiction.
